Google Sheets Integrations
CloudShare enables the following direct integrations with your Google Sheets:
-
Google Sheets for Training. Synchronize CloudShare class data to a Google Sheet to track how your customers are progressing with their training. Filter data and create personalized reports to optimize your training.
-
Google Sheets for Sales Enablement. Synchronize CloudShare POC data to a Google Sheet to easily analyze sales cycle progress. See all of your sales enablement activity on one Sheet.
-
Google Sheets for End-User Invitations. Track and manage all of your end-user sales invitations, responses and follow-up activities in one Google Sheet.
Only a CloudShare Account Manager is able to configure or change a Google Sheets Integration.
-
From the main menu, click Integrations. The Integrations page will be displayed, showing all the integration modules available for your account.
-
Click the desired Google module. A configuration panel for that module will appear on the side of the page.
-
At the top left corner of the panel, click Connect. The Connect to Google Account dialog box will be displayed.
-
Click New authentication. The Create a new authentication dialog box will be displayed:
-
Enter the Authentication name for your Google Sheet account, or select it from the dropdown list.
-
Click Create. The Google Login dialog will be displayed.
-
Enter the Username and Password for your Google account and click Log In. Google will run its standard connection authentication process.
When your first-time login succeeds, Google will display an access permissions dialog.
-
Select the components that Google will be able to access and click Continue.
After you access Google, a CloudShare success message indicating that a connection was created for your new integration will appear and the Google Sheet File name dialog box will be displayed:
-
Enter a Filename and Worksheet Name for the new Google Sheet and click Next.
-
In the Select a start date to sync field, use the calendar widget to select the date you want to synchronize your CloudShare data with the Google Sheet. CloudShare supports synchronizing data as far back as January 1st of the prior calendar year.
For example, if you want to sync all related CloudShare data that has been created since the beginning of last month, select the first day of that month in the widget.
When you have selected a start date, click Next.
-
From the list, choose one or more CloudShare projects that you want to sync with this Google Sheet integration and click Next.
-
If asked, select the search criteria to be used for the Google Sheet according to the integration you are creating, for example:
-
Google Sheets for Training: Optionally select the class status that will be used for synchronizing classes - Ended classes, Started and ended classes, or Selected classes.
Click Next.
-
-
Select the data mapping to be used for the Google Sheet. Along with the mandatory fields listed, optionally select any of the additional fields shown to map them to the sync.
Click Next.
-
From the dropdown menu, choose the sync interval you want to use for the Google Sheet integration:
-
One Time - Immediate synchronization that will be performed only once. (Each time you use this sync method, a new instance of the named Google Sheet will be created.)
-
Daily - Synchronization will be performed once a day.
-
Weekly - Synchronization will be performed once a week.
-
Monthly - Synchronization will be performed once a month.
Note
A repeating synchronizations (e.g., Daily, Weekly) will be performed to the same Google Sheet that was created during your initial configuration activity. If you edit an existing integration, the next sync will create a new Google Sheet and assign that instance as the new sync target.
Click Finish.
CloudShare displays a success message and your new Google Sheet will be created.
A connected
icon will appear on an active integration module.
-
Following a successful synchronization with your account, you'll find the new synchronized Sheet in the Sheets folder of your Google account, as shown in the example below:

-
From the main menu, click Integrations. The Integrations page will be displayed.
-
Click the Google integration you want to change. The configuration panel for that module will appear on the right side of the page.
-
You can change an existing configuration in the following ways:
-
Pause - Stop integration activities temporarily. You may want to use this option if CloudShare tests or other activities are occurring which you do not want reflected in your data.
A pause
icon will appear on a paused integration module.
-
Resume - Restart integration activities. This option will appear on an integration that has been Paused.
-
Edit - Update the account name, data mapping or synchronization characteristics for your integration. (See Step 9 through Step 14 in the configuration procedure above.
Keep in mind that, whenever you edit an integration, the next synchronization activity will create a new Google Sheet and assign that instance as the new synchronization target.
-
Disconnect - Remove the integration. This also will delete any existing mapping and sync characteristics you have set.
-
Caution
After you create a synchronized Google Sheet, do not rename or delete the Sheet, as this will impair future synchronization processes. If you want to make manual changes to the Sheet, we recommend making a separate copy of it, as described below.
-
When regular synchronizations are chosen, CloudShare will synchronize with the same Google Sheet instance until you edit the existing integration. Following an edit, the next synchronization activity will create a new Google Sheet and assign that new instance as the synchronization target,
For this reason, it is best practice not to manually add new elements (e.g., additional data sources, filters, charts, etc.) to a Google Sheet synchronization target. Instead, maintain a separate Google Sheet that contains your additional elements and copy (or reference by link) the most recently synchronized data into that Sheet whenever needed.
